Tips for hosting a successful event

Events and Domestic Protocol’s Interim Director of Events, Nigel Halligan, introduces the new University Events Policy and discusses how it will help anyone planning a university occasion.

Events, events, events…they never stop! Halfway through the year and the newly established Events and Domestic Protocol team (EDP) are well and truly underway to being the central contact point supporting the University’s events.

Each business area has a dedicated Event Partner who supports each faculty, office and business area and by now most of you will have met your partner and begun planning your upcoming events.

The Events and Domestic Protocol team is here to support strategic university events, advise on departmental event activity, as well as provide domestic protocol support for visiting dignitaries and VIPs to the campus.

Having moved into the DVC CEA portfolio in January, the team has delivered more than 130 events, sent 80,000-plus invitations and had more than 20,000 people register to attend our occasions. All of this is in collaboration with event owners across campus and Forte Catering and Events.

There have been several changes this year to how events are managed and the team is pleased to announce the introduction of the University Events Policy.

The policy framework will better support the needs of the University by formalising the process in a clear and easily understood manner.

The policy highlights the events procedure at the University including:

  • A formalised briefing process
  • Event definitions
  • Timelines
  • Budget responsibilities and approvals

When hosting, keep these five tips in mind:

  • Make us your first point of contact – we are here to help
  • Start your planning early – the right venue is crucial
  • Know your audience – develop the event to suit them
  • Find a charismatic MC – guest experience is just as important as content
  • Always have a plan B – don’t underestimate mother nature
