New policy management system launching 22 February

As communicated to staff in December, Policy Central will be moving to a new policy development and management system on Monday 22 February.

A new location

Policy Central will be located under a new URL.  Redirects will be in place so that all current links will still work.  This means that no changes to your weblinks will be required immediately, and these can be updated to the new URLs progressively.

A new look

Policy Central will look different, but all current content will remain.

The Policy Central landing page will be simpler with tiles to direct you to the A-Z list, Resources and FAQs, a Search page, and a Bulletin Board.

In response to feedback, we have reformatted our policy documents to make them easier for you to follow.  Each paragraph will now be numbered, and we have moved definitions to the bottom of policies, so that you can get straight to the policy content when a document is opened.

New features

The new Policy Central will:

  • enable you to print a pdf version of a policy document directly from the system;
  • contain historic and future versions of documents that you can access as required;
  • feature a Bulletin Board showing new or amended documents. The Bulletin Board function will also support consultation on policies, so that feedback on a draft policy or policy amendment can be collated in the system;
  • generate automatic reminders to the responsible area when policy documents are due for review;
  • include automated endorsement and approval workflows; and
  • include version control and document security throughout the policy development/review process.

One-stop shop

Policy Central will be your one-stop shop for policy documents as well as University Rules, and Committee Terms of Reference which will be added progressively.

Training

Tailored training will be organised for users (e.g. policy author, or policy endorser/approver) following the February launch.
